PRIVACY POLICY

Rowan Jacqueline and Spiderflower (thereafter 'we' or 'us') are committed to ensuring that your privacy is protected.

Should we ask you to provide certain information by which you can be identified, you can be assured it will only be used in accordance with this privacy statement.

This is a living document where we may update this policy from time to time in order to provide accurate levels of transparency and the best possible service. Please check this page periodically to ensure that you are happy with any changes. This new policy in line with GDPR is effective from 23/05/2018.

  • DATA CONTROLLER:  The data controller for Rowan Jacqueline and Spiderflower is Rowan Jacqueline.  

  • HOW DOES ROWAN JACQUELINE  / SPIDERFLOWER COLLECT DATA?  

We collect client data through 5 main sources: 

  • WEBSITE:  This website collects cookies and visiting data via Wix and Google Analytics.

  • FACEBOOK: Liking Rowan Jacqueline's or Spiderflower's Facebook Page connects us with your profile. We cannot access your personal profile unless we are 'friends'.

  • PAYMENT:  When a participant makes payment via PayPal or Transferwise, their data is sent through to Spiderflower.

  • MAIL LIST: Personal contact information is collected via Mail Chimp. Please also see the privacy policy for Mail Chimp - https://mailchimp.com/legal/privacy.

  • REGISTRATION: Information that can be considered as sensitive is collected via POWr forms on this website, or by printed registration forms to be filled by hand and sent by post.

  • WHAT DATA DOES ROWAN JACQUELINE  / SPIDERFLOWER COLLECT?

  • WEBSITE:  

    • This website collects cookies and visiting data via Wix and Google Analytics.

  • FACEBOOK: Your name which will link to your profile. Facebook provides us with 'insights' and will give general trends and demographics around activity with no personal data disclosed.

  • PAYMENT: Your name, postal address, course requested and sum payed. We do not receive any bank account or credit / debit card details.

  • MAIL LIST: 

    • Your name, your email address, country of residence / closest city.

    • Demographic information such as your contact preferences - plus your consent to make contact.

    • This is all the information we need to keep you posted. 

  • REGISTRATION: 

    • Your personal contact details including postal address, email address, telephone. 

    • Demographic information such as your country, preferences and interests.

    • Contact details of your next of kin. 

    • Detailed information as to why a participant wishes to register on any one course.

    • Detailed information on past training with Spiderflower or other providers.

    • A health and safety check to ensure participant is suited to the work.

    • Dietary information.

  • WHY IS THIS DATA COLLECTED?

  • WEBSITE:  To help us see how traffic is behaving on site. No personal details are retained through visits.

  • FACEBOOK:  Again, to help us understand our audience and how it is interacting with pages.

  • PAYMENT:  For booking and accounting purposes.

  • MAIL LIST:  So that we can keep you posted on events and articles with your consent.  We need your country / closest city so we can notify you of local events.

  • REGISTRATION:  We conduct a thorough registration process for several reasons.

    • Safety and security:  To ensure the safety of all participants and to ensure next of kin are contactable in the case of an emergency.

    • Suitability: Spiderflower is a powerful form of dance movement theatre with a specific approach to the work. Participants are screened carefully to make sure the work, and level they are applying for is suitable for them.

    • Support: Participants often work with Spiderflower long term (5-10 years). Spiderflower is committed to a participants development over time and requests deeper detail in order to chart progress and provide the right support at a bespoke level.

  • HOW IS DATA STORED?

  • WEBSITE:  Data is stored via Wix and Google Analytics only.

  • FACEBOOK:  Data is stored via Facebook only.

  • MAIL LIST:  Data is stored via Mail Chimp only.

  • REGISTRATION: Data submitted electronically via POWr forms are stored securely within Spiderflower's computing system. Data submitted on paper forms and submitted via post are stored securely within Spiderflower's filing system.

  • CORRESPONDENCE: Once a participant embarks on a working relationship with Rowan Jacqueline / Spiderflower, a file is opened where all correspondence is stored. This is kept securely within Spiderflower's computing system.

  • WHAT HAPPENS WITH THE INFORMATION GATHERED?

We require this information to understand your needs and provide you with a better service, for the following reasons:

  • We use information gathered for internal record keeping.

  • We may periodically send promotional emails about new events and courses, special offers or other information which we think you may find interesting using the email address which you have provided.

  • We use the information to provide participants with course material and information once registered on a course, to maintain correspondence and support, or request feedback once a course has been completed.

  • We may use the information to improve our services.

  • From time to time, we may use your information to contact you for market research purposes where we would contact you by email. We may use the information to customise websites according our audiences interests.

  • HOW IS MY DATA SHARED?

We take the greatest care to keep your data private and confidential. Basically, once it is passed to Rowan Jacqueline / Spiderflower it simply isn't shared beyond a very limited format. Here is how your data is treated once sent into us:

  • We never share data with a third party unless we are required to do so by law.

  • We never consider selling data or information onward.

  • Where members of Spiderflower or employees work to assist with administration, they are made aware of data protection regulations and asked to sign to a data protection agreement that in effect binds them to treating all data held by Spiderflower as belonging to Spiderflower and is completely confidential.They understand they may not, under any circumstances use this data for any other purpose beyond Spiderflower's direct relationship with participants. When data is shared with internal assistants and employees, only email addresses, telephone numbers, a Facebook contact and booking details are made available. Details for next of kin and all other sensitive data is withheld.

  • Where participants ask for other participants / staff members contact details, it is policy for Rowan Jacqueline and Spiderflower to decline these requests due to data protection.

  • Where information is deemed as sensitive, this data is never passed onto any other member of Spiderflower, and remains in the sole possession of data controller and director, Rowan Jacqueline.

  • All guest lists for Facebook events are restricted to 'unseen', this is to uphold a participants or potential participants privacy.

  • Cookies: Data from your activity from this site is shared with Wix and Google Analytics.

  • PHOTOGRAPHIC PERMISSIONS

We sometimes record the work via photograph or film and may want to share stills or footage to show the work / for marketing purposes. In these cases and where participants appear, they are asked to complete a photo permissions form.

  • SECURITY

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial structures to safeguard and secure the information we collect on-line.

  • WHAT HAPPENS IN CASE OF A BREACH?

If data protection law is breached, and it becomes known Rowan Jacqueline or any member of Spiderflower has shared information in a way that is unlawful, accidentally or wilfully, the following procedure takes place:

  • Rowan Jacqueline will contact the participant/s immediately effected to inform them of that breach in writing and undertake further discussions to resolve the case.

  • Report the incident to the ICO, and take advice on next steps to follow.

  • Contact the individual or organisation who is responsible for that breach, and investigate.

  • Take all neccessary steps to secure data.

  • Depending on the nature of the breach, Rowan Jacqueline may take legal action against the individual or organisation responsible for that breach.

If an individual or organisation wilfully and wrongfully shares the data of Rowan Jacqueline's / Spiderflower's participants or data belonging to Rowan Jacqueline / Spiderflower - action will be taken against them.

  • HOW COOKIES ARE USED

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

You can choose to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. This may prevent you from taking full advantage of the website.

  • LINKS TO OTHER WEBSITES

When our websites contain links to other websites that may be of interest or links to service providers such as PayPal, Mailchimp and Facebook etc. Once a participant chooses to use these links, and leave our sites they should note that Rowan Jacqueline or Spiderflower do not have any control over that other website, their own privacy policy and how they treat your data. Therefore, we cannot be responsible for the protection and privacy of any information which participants provide whilst visiting such site. Please exercise caution and look at the privacy statement applicable to the website in question if not connected to Rowan Jacqueline or Spiderflower.

  • RETENTION PERIODS & DELETION

  • MAIL LIST:  

    • Unsubscribe: You can unsubscribe from mail lists at any time via Mailchimp.  Please use the 'unsubscribe' link on the given Mailchimp send out, or email Rowan Jacqueline (contact(at)rowanjacqueline.co) or Spiderflower (contact(at)spiderflower.org) directly.  It is practice for Mailchimp to keep a record of your name and email address as 'unsubscribed' to ensure you are not included on further lists.

    • Retention Period:  Contacts on our mail lists are kept for an indefinite period of time, so long as that contact has an active relationship with us. Where a relationship becomes inactive, contacts will be deleted after a period of 3 years inactivity.

  • REGISTRATION / SENSITIVE DATA:  

    • Information and data from registration forms are kept on file so long as that participant has an active relationship with Rowan Jacqueline or Spiderflower. Where a relationship becomes inactive, after a period of 3 years all data along with all correspondence will be securely deleted.  

    • Where we are about to make this deletion, we will attempt to contact that individual to ensure they are made aware, and check that they do not wish to stay in touch. Where paper correspondence has been sent in, the paperwork will be destroyed.

  • LONGER RETENTION:

    • We may need to retain data for longer or indefinite periods of time when we may be obliged by law or regulation to keep information. (i.e. In cases where dispute has arisen in the past.) 

  • YOUR RIGHTS & CONTROLLING YOUR PERSONAL INFORMATION

You have rights over the use of your data and you may:

  • Ask for a copy of the information Rowan Jacqueline / Spiderflower holds.

  • Ask for information to be corrected.

  • Ask for information to be erased, deleted or destroyed.

  • Ask Rowan Jacqueline / Spiderflower to limit or restrict processing, in relation to direct marketing or in any other way.

  • A right to object to processing if it is likely to cause damage or distress.

  • A right to object to decisions being taken by automated means.

  • A right to complain to an EU data protection authority.  This can be where you live, work or where the matter occurred.  

    • In the UK, the authority is the Information Commissioner’s Office (the “ICO”) - https://ico.org.uk

You may choose to restrict the collection or use of your personal information with direct relation to Rowan Jacqueline or Spiderflower in the following ways:

  • Whenever you are asked to fill in a registration form on the website, look for the box that you can click to indicate that you do or do not want to be included on mail lists.

  • If you are already subscribed to a mail list and want to unsubscribe, you can simply unsubscribe through mail you receive.  You will find an unsubscribe link on the bottom of any send out.

  • If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible at the above addresses.

The opt-in for the MAIL LIST has been updated to give participants greater choice and control over how information is sent to them and is compliant with General Data Protection Regulation (GDPR) 2018.

This privacy policy has been set out to comply with GDPR for the EU, and sets out how Spiderflower collects, stores, uses and protects information you may give when using this website, subscribing to Rowan Jacqueline's or Spiderflower's mail list, registering for membership, a course or purchasing tickets or merchandise.
